Captain Fantastic provide themed parties and discos for children and teenagers. They’re rated the number one provider on FreeIndex and they work with the stars and celebrities of the London West End. Tommy Balaam and Ricky Fox are the directors and have plans to take Captain Fantastic nationwide following the success in the capital.

When they started the business in 2011, paper based diaries were used to manage new bookings. As the business grew and a team of entertainers were recruited (as Captain Fantastic couldn’t be everywhere at once yet), the manual processes became more complex and difficult to manage.

Tommy and RIcky needed a flexible system that would enable them to capture new bookings and manage them through to completion. The brief included looking at managing Entertainer availability, integrating with the finance system (Xero) and implementing a survey for client feedback after a successful party.

The Solution

Target Cloud took our existing data and processes and customised Zoho CRM to collect each stage of the process. Enquiries are integrated into our website so that they’re never missed, parents and their children are stored securely so that we can keep existing clients up-to-date and produce special offers when their birthdays come around and Bookings are managed from Pencil to Confirmation.

Google Calendar has been setup to manage entertainer availability making it easy to have a simple view of who is available when a client calls in for a new party. Back office systems such as automatic invoicing through Xero are all integrated to offer a streamlined process from enquiry through to invoice.

The Results

Captain Fantastic and CF Entertainment have plans to go nationwide and needed a solid system before making this a reality. With Zoho CRM as the central cloud solution, they have a flexible platform to franchise and introduce new business owners to this “fantastic opportunity”,
